This Privacy Policy explains how LinkTrip LLC, doing business as LinkTrip ("LinkTrip," "we," "us," or "our"), collects, uses, stores, discloses, and protects personal information when you use LinkTrip's websites, applications, trip pages, RSVP tools, guest management tools, payment-tracking tools, booking-link tools, and related services (collectively, the "Service").

By using LinkTrip, creating an account, creating a trip, RSVPing to a trip, submitting information through a trip page, purchasing a LinkTrip feature, or otherwise using the Service, you agree to this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the Service.

1. What LinkTrip Is

LinkTrip is a group-trip planning and organization platform. LinkTrip helps hosts create trip pages, share invite links, collect RSVPs, organize guest details, track travel dates, collect lodging and flight information, coordinate activities, share estimated costs, upload trip-related content, and track payment status.

LinkTrip is an organizational software tool only. LinkTrip is not a travel agency, booking provider, payment processor for host-to-guest payments, escrow service, hotel, airline, rental company, tour operator, insurer, or emergency service.

2. Information We Collect

We collect information that users provide directly, information generated through use of the Service, and limited information from service providers that help us operate LinkTrip.

A. Account Information

When you create an account or use the Service, we may collect:

  1. Name.
  2. Email address.
  3. Optional phone number.
  4. Login or authentication information.
  5. Account settings.
  6. Profile information you choose to provide.
  7. Communications with LinkTrip support.

B. Trip and RSVP Information

When a host creates a trip or a guest RSVPs to a trip, we may collect:

  1. Trip name.
  2. Trip dates.
  3. Destination or general location.
  4. RSVP status.
  5. Guest names.
  6. Guest contact information.
  7. Arrival and departure dates.
  8. Flight details.
  9. Lodging details.
  10. Activity choices.
  11. Group size.
  12. Guest notes.
  13. Cost-sharing information.
  14. Payment status recorded by the host or guest.
  15. Emergency contact information, if provided.
  16. Dietary information, accessibility needs, or other trip-related details, if provided.
  17. Any other information submitted through a trip page or RSVP form.

You should only submit information that is necessary for coordinating the trip. Do not submit highly sensitive information unless LinkTrip expressly provides a secure feature for that purpose and you are authorized to submit it.

C. Uploads and User Content

Users may upload or submit content through the Service, including:

  1. Cover photos.
  2. Trip images.
  3. Payment screenshots.
  4. Booking links.
  5. Notes.
  6. Itinerary details.
  7. Other trip-related files or content.

Users are responsible for ensuring they have the right to upload or share any content they submit.

Payment screenshots should be redacted before upload and should show only the minimum information needed to help track payment status. Users should not upload full bank account numbers, full card numbers, Social Security numbers, passport numbers, government ID numbers, passwords, medical records, or other highly sensitive information.

D. Payment Information for LinkTrip Fees

If a host purchases a LinkTrip trip page, feature, upgrade, or tool, payment may be processed by a third-party payment processor such as Stripe or another provider.

LinkTrip does not receive or store full credit card numbers. We may receive and store limited payment-related information, such as:

  1. Confirmation that a payment was completed.
  2. Order amount.
  3. Purchase date.
  4. Product or feature purchased.
  5. Last four digits of a payment card, if provided by the payment processor.
  6. Billing email or billing name.
  7. Transaction identifiers.
  8. Refund or dispute status, if applicable.

Payment processors may collect and process payment information according to their own terms and privacy policies.

E. Host-to-Guest Payment Status

LinkTrip does not currently collect, hold, transfer, escrow, verify, or process payments between hosts and guests.

If a host records that a guest has paid or not paid, or if a user uploads a payment screenshot, LinkTrip may store that payment-status information for organizational purposes only.

LinkTrip does not verify whether any host-to-guest payment was actually made, received, reversed, refunded, disputed, owed, late, or complete.

F. Booking Links and Affiliate Links

Hosts may add third-party booking links for flights, hotels, rentals, transportation, activities, restaurants, events, or other services.

Some links may be affiliate, referral, or sponsored links. This means LinkTrip may receive compensation if a user clicks a link, creates an account, or makes a purchase through that link, at no additional cost to the user.

When you click a third-party link, the third-party website or service may collect information from you directly. LinkTrip is not responsible for the privacy practices of third-party websites, booking platforms, travel providers, payment providers, or vendors.

G. Usage, Device, and Technical Information

We may automatically collect limited technical information when you use the Service, including:

  1. IP address.
  2. Browser type.
  3. Device type.
  4. Operating system.
  5. Pages or features viewed.
  6. Time and date of access.
  7. Referring URLs.
  8. Log data.
  9. Error reports.
  10. Security and fraud-prevention information.
  11. Cookie or session information.

We use this information to operate, secure, improve, debug, and protect the Service.

3. How We Use Information

We use personal information to:

  1. Provide, operate, and maintain the Service.
  2. Create and manage user accounts.
  3. Create, display, and manage trip pages.
  4. Allow hosts to invite guests and collect RSVPs.
  5. Allow guests to submit trip-related information.
  6. Show hosts, co-hosts, and guests the information needed to coordinate a trip.
  7. Process LinkTrip platform-fee payments.
  8. Track purchases, features, guest limits, and trip tools.
  9. Send transactional emails, confirmations, reminders, updates, security notices, support messages, and legal notices.
  10. Respond to support requests.
  11. Detect, prevent, and investigate fraud, abuse, security incidents, unauthorized access, and policy violations.
  12. Improve, test, troubleshoot, and analyze the Service.
  13. Enforce our Terms of Service.
  14. Comply with legal obligations.
  15. Protect the rights, safety, and security of LinkTrip, users, and others.

We do not use guest information to sell travel services, act as a travel agency, process host-to-guest payments, or guarantee trip arrangements.

4. How Trip Information Is Shared

When you join or interact with a trip, certain information you submit may be visible to the host and any co-hosts or trip administrators so they can organize the trip.

This may include your:

  1. Name.
  2. Contact information.
  3. RSVP status.
  4. Travel dates.
  5. Flight details.
  6. Lodging details.
  7. Activity choices.
  8. Group size.
  9. Payment status.
  10. Guest notes.
  11. Emergency contact information, if provided.
  12. Dietary or accessibility details, if provided.

Depending on the trip settings, limited information may also be visible to other guests. For example, a trip page may display guest names, RSVP status, activity selections, or other information the host chooses to show.

Anyone with access to a private invite link may be able to view or submit certain trip information depending on the trip settings. Hosts are responsible for sharing invite links carefully.

5. How We Share Information With Service Providers

We may share information with trusted service providers that help us operate the Service, including:

  1. Website hosting providers.
  2. Database and cloud infrastructure providers.
  3. Authentication providers.
  4. Email providers.
  5. Payment processors.
  6. Analytics or error-monitoring providers.
  7. Customer-support tools.
  8. Security, fraud-prevention, and compliance providers.
  9. Professional advisors, such as attorneys, accountants, or insurers.

These providers may access personal information only as needed to provide services to LinkTrip and are expected to protect that information according to their own legal obligations and agreements with us.

6. Third-Party Websites and Services

The Service may contain links to third-party websites, apps, platforms, booking providers, payment providers, airlines, hotels, vacation rentals, transportation providers, event providers, activity providers, restaurants, or other vendors.

This Privacy Policy does not apply to third-party websites or services. When you leave LinkTrip or use a third-party service, that third party's own terms and privacy policy apply.

You should review the privacy policy and terms of any third-party website before submitting personal information, making a booking, or completing a purchase.

7. Cookies and Similar Technologies

We may use cookies, session tokens, and similar technologies to:

  1. Keep users signed in.
  2. Remember account or trip settings.
  3. Secure the Service.
  4. Prevent fraud or abuse.
  5. Understand basic Service usage.
  6. Improve performance and reliability.

We currently use cookies and similar technologies primarily for necessary, functional, security, and operational purposes.

If we later use analytics, advertising, retargeting, or cross-context behavioral advertising cookies, we will update this Privacy Policy and provide any required notices or choices.

You may be able to control cookies through your browser settings. Disabling cookies may affect how the Service works.

8. Analytics

We may use analytics or error-monitoring tools to understand how users interact with the Service, identify bugs, improve features, and maintain security.

Analytics information may include device information, usage patterns, page views, clicks, session events, approximate location based on IP address, and technical performance information.

We do not use analytics to sell personal information.

9. Email and Communications

We may send transactional and service-related emails, including:

  1. Account emails.
  2. Trip invitations.
  3. RSVP confirmations.
  4. Trip updates.
  5. Purchase confirmations.
  6. Feature updates.
  7. Security alerts.
  8. Support responses.
  9. Legal notices.

You may not be able to opt out of transactional or service-related emails because they are necessary to provide the Service.

If we send marketing emails, you may unsubscribe using the instructions in the email.

10. How We Protect Information

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction.

These safeguards may include access controls, authentication, encryption where appropriate, secure infrastructure providers, monitoring, and internal restrictions on who may access user information.

However, no website, app, platform, database, or internet transmission is completely secure. We cannot guarantee absolute security.

Users are responsible for protecting their own login credentials, devices, passwords, and invite links.

11. Data Retention

We keep personal information for as long as reasonably necessary to provide the Service, maintain trip records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, maintain security, and support legitimate business purposes.

Trip information may remain available to hosts, co-hosts, or account holders unless deleted by the user or removed according to our policies.

We may retain certain information after account deletion where required or permitted by law, including records related to payments, legal compliance, fraud prevention, security, disputes, tax obligations, backups, or enforcement of our Terms.

When information is no longer needed, we may delete, de-identify, or anonymize it.

12. User Choices and Privacy Requests

Depending on where you live and applicable law, you may have the right to request that we:

  1. Confirm whether we process your personal information.
  2. Provide access to personal information we maintain about you.
  3. Correct inaccurate personal information.
  4. Delete personal information.
  5. Provide a copy of certain personal information.
  6. Restrict or object to certain processing.
  7. Opt out of certain uses, such as sale, sharing, targeted advertising, or profiling, where applicable.
  8. Appeal a denied privacy request, where applicable.

We may need to verify your identity before completing a request. We may deny or limit a request where allowed by law, including if we cannot verify your identity, need to retain information for legal reasons, need the information to provide the Service, or need the information for security, fraud prevention, dispute resolution, or compliance.

13. State Privacy Rights

Certain U.S. state privacy laws may provide additional rights to residents of those states. These rights may include the right to access, correct, delete, obtain a copy of, or opt out of certain uses of personal information.

Where required by applicable law, LinkTrip will honor applicable state privacy rights.

California Residents

If the California Consumer Privacy Act ("CCPA") or other California privacy laws apply to LinkTrip, California residents may have rights regarding their personal information, including rights to know, access, correct, delete, opt out of sale or sharing, limit the use of sensitive personal information, and not be discriminated against for exercising privacy rights.

LinkTrip does not sell personal information for money.

LinkTrip does not knowingly sell or share personal information of users under 16.

If LinkTrip later engages in activities considered "sale," "sharing," targeted advertising, or cross-context behavioral advertising under applicable law, we will update this Privacy Policy and provide any required opt-out mechanism.

Texas Residents

If the Texas Data Privacy and Security Act or other Texas privacy laws apply to LinkTrip, Texas residents may have rights regarding their personal information, including rights to access, correct, delete, obtain a copy of personal data, and opt out of certain processing where applicable.

Texas residents may submit requests by emailing support@linktrip.net.

Where required by law, we will provide a process to appeal a denied privacy request.

Other State Residents

Residents of other states may have additional privacy rights under applicable state privacy laws. LinkTrip will respond to privacy requests as required by applicable law.

14. Sensitive Information

Some trip-related information may be sensitive depending on what a user chooses to submit, including dietary needs, accessibility needs, emergency contacts, health-related notes, or payment screenshots.

Users should only submit sensitive information when necessary for trip coordination and when they are authorized to do so.

Hosts should not request sensitive information unless it is reasonably necessary for the trip and they have proper consent to collect it.

LinkTrip does not intentionally require users to submit Social Security numbers, full bank account numbers, full credit card numbers, government ID numbers, passport numbers, medical records, or passwords.

If a user submits unnecessary sensitive information, LinkTrip may remove it but is not responsible for the user's decision to submit information they were not asked to provide.

15. Children and Minors

LinkTrip is not directed to children under 13, and children under 13 may not create accounts or use the Service directly.

We do not knowingly collect personal information directly from children under 13.

If we learn that we have collected personal information directly from a child under 13 without legally valid parental consent, we will take reasonable steps to delete that information.

Hosts may not knowingly submit personal information about a child under 13 unless they are the child's parent or legal guardian, have proper authority to provide the information, and the submission is permitted by applicable law and this Privacy Policy.

Parents or guardians who believe a child's information has been submitted to LinkTrip may contact us at support@linktrip.net.

16. International Users

LinkTrip is operated from the United States. If you access the Service from outside the United States, you understand that your information may be processed, stored, and transferred in the United States or other countries where our service providers operate.

Privacy laws in those countries may differ from the laws in your location.

17. Business Transfers

If LinkTrip is involved in a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction, personal information may be transferred or disclosed as part of that transaction.

Any successor or acquiring entity may continue to use personal information according to this Privacy Policy unless a new policy is provided.

18. Legal Compliance and Safety

We may disclose personal information if we believe disclosure is reasonably necessary to:

  1. Comply with applicable law, regulation, legal process, subpoena, or government request.
  2. Enforce our Terms of Service.
  3. Protect the rights, property, or safety of LinkTrip, users, or others.
  4. Detect, prevent, or investigate fraud, abuse, security incidents, or technical issues.
  5. Respond to disputes, claims, or legal proceedings.
  6. Protect against harm or illegal activity.

19. Do Not Track

Some browsers may send "Do Not Track" signals. Because there is no uniform industry standard for responding to these signals, we do not currently respond to them.

If applicable law requires recognition of certain privacy signals, such as opt-out preference signals, we will comply as required.

20. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we update it, we will revise the "Last updated" date above.

If we make material changes, we may provide additional notice where required or appropriate.

Your continued use of the Service after an updated Privacy Policy becomes effective means you acknowledge the updated Privacy Policy.
